Event Registration Terms & Conditions

We can’t wait to see you at a Dirt World Event (“EVENT”) in 2025! Please read below for our registration terms (the “Terms and Conditions”), which apply to all Dirt World 2025 events organized by BuildWitt Media Group, LLC, including but not limited to the Dirt World Summit ‘25, the Dirt World Workshop at Wyotech, and the Dirt World Workshop at John Deere. Specific details for each event, such as venue information and cancellation deadlines, are provided in the respective event appendices.

Once your registration is complete, the purchase and rate are final, so check it carefully before finishing your registration to make sure the price displayed at checkout is the price that you expect and agree to pay once you complete your registration.

Occasionally we may offer a promotional, coupon, discount, or similar code (collectively “promo codes”), as part of a limited-time sale. These codes are tied to a specific pass (for example, a Sponsor pass), and their value cannot be applied towards another pass. Promo codes cannot be applied retroactively to a previously completed purchase.

If you are registering on behalf of someone else, you are responsible for obtaining your attendees’ permission to share their personal information with BuildWitt Media Group, LLC (BUILDWITT) and for BUILDWITT, its vendors, and/or SUMMIT event sponsors to use their information as described in the ‘PRIVACY’ and ‘SCANNING’ sections below. You are also responsible for your attendees’ compliance with these Terms and Conditions. We may refuse entry or cancel registration for any attendee that does not comply.

If you can’t attend SUMMIT or no longer wish to, you can transfer your registration to another person. Your registration can be transferred up until your name badge is picked up onsite.


To transfer your registration, contact us at events@buildwitt.com. You will need to provide the confirmation number and email address of the original attendee.

 

Important Reminder: Transferring your registration does not automatically transfer your hotel and travel arrangements. You are responsible for transferring your own hotel and travel reservations.

 

We understand that things may come up and keep you from attending SUMMIT. You can get a full refund on your registration until September 5th, 2025 at 11:59 PM by notifying us in writing at events@buildwitt.com. No refunds will be issued after September 5th, 2025; however, you can transfer your registration to another attendee (see REGISTRATION TRANSFER).

If we have to reschedule or cancel SUMMIT, we’ll notify you by a public announcement on buildwitt.com, by email, and/or by other methods. If the event is rescheduled and you can no longer attend or wish to attend, you may cancel your registration by giving us written notice at events@buildwitt.com within two (2) weeks of receiving our notice. If you do not notify us of your cancellation within that time, you will be subject to the cancellation policy of the new SUMMIT dates.

If you’re entitled to a refund, the amount refunded will be based on the fees paid for the registration(s) you canceled and will be refunded to your original payment method. These cancellation terms apply regardless of the reason that you cancel.

Important Reminder: Canceling your registration does not automatically cancel your hotel and travel arrangements. You are responsible for canceling your own hotel and travel reservations.

BUILDWITT shall not be liable to attendee, exhibitor or sponsor for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses. Attendees, exhibitors and sponsors are responsible for obtaining the appropriate travel insurance to cover themselves with respect to such eventualities.

 

FORCE MAJEURE

The term "Force Majeure" shall mean any "act of God," strike, lockout, civil strife, epidemic, pandemic, or other event or condition that (a) occurs without the fault or negligence of SUMMIT thereby and is beyond the reasonable control of such party; and (b) materially hinders, delays, or increases the cost of performance of these Terms by such party. In the event of any force majeure event, SUMMIT shall notify you of the existence, cause, and expected duration thereof in writing. Affected by such condition, SUMMIT shall, to the extent and during the period so affected, be excused from performing these Terms.

 

Due to equipment being on-site, as well as alcohol, the age limit for attending SUMMIT is 18+. If you need to bring a child with you, please request a companion ticket by emailing events@buildwitt.com. Due to safety requirements, they must be registered for the event, and children must be accompanied by a parent or guardian at all times. Children under 13 are not allowed into capacity-restricted sessions, in the exhibit hall or general session spaces during setup/teardown, or any venue-restricted areas such as loading docks and equipment storage areas.

SUMMIT companion tickets are limited to 1 per attendee.

You must be at least 21 years of age to drink alcohol, and will show a Government issued ID if asked.

REGISTRATION DATA

We may share your registration data with our vendors in order to provide event information and help improve your experience at SUMMIT or other Dirt World events. For example, if we offer a mobile app, we might make your data available to the mobile app provider so it’s accessible through the app.

We may provide your registration data (including your name, job title, company, and email) to SUMMIT sponsors so you can receive communications directly with them, unless you opt-out.  You may opt-out from sharing your registration data with SUMMIT sponsors at any time at https://info.buildwitt.com/privacy-optout or by any of the following means:

You may have the option of sharing your registration information directly with other attendees or sponsors through our mobile app or other online communities. If you choose to share (or allow us to share) your information, you understand that we do not control how other attendees or sponsors use your information.

PERFORMANCE METRICS

We may share performance metrics such as page views, clicks, and impressions with SUMMIT sponsors or vendors to measure the performance of our SUMMIT mobile app, content, and advertising. We will use this information in compliance with our privacy policy.

If we (in our sole discretion) determine that you are behaving in a manner that is, or could be, disruptive to the event or other attendees or dangerous to other attendees, exhibitors or sponsors, then we can limit your access, expel, or deny entrance to you from the event. If we do, you aren’t entitled to any form of refund or compensation. At our discretion, we may also ban you from future events for a definite or indefinite period of time.

If you believe any individual is acting in a manner that is disruptive of the event or violates these terms, email conduct@buildwitt.com.

 

The views or opinions expressed by any event attendee, speaker, or sponsor are not necessarily the views or opinions of SUMMIT or BUILDWITT. All attendees, speakers, and sponsors are responsible for their own content. Attendees, speakers, and sponsors are not allowed to use any content that infringes on another party’s intellectual property rights, is harassing, misleading, or unlawful.

 

All attendees at SUMMIT must wear their name badge (“BADGE”) at all times while on the premises of the respective venue.

 

ONSITE PICKUP

All attendees must pick up their BADGE at Registration. This is your pass to all SUMMIT events. To pick up your BADGE, all registration fees must be paid in full.

If your BADGE is lost or stolen, you should notify us immediately by email at events@buildwitt.com or letting a member of our onsite Events Team know. We will issue a replacement BADGE on a case-by-case basis.

 

SCANNING

Our sponsors may have the option to scan your BADGE to retrieve the personal information that you provided at registration, including your name, company, and email address. If your data is collected by a sponsor, it will be used and stored according to their privacy and data retention policies. 

 

NO BADGE TRANSFER OR RESALE

All BADGES associated with purchased SUMMIT passes are for use by the original authorized purchaser or to the person the original registrant has transferred their SUMMIT pass to. Once received, BADGES are not transferable.

BADGES may not be sold, transferred, or used for any form of commercial or trade purposes. No sponsorship, on-site marketing, sampling, vending, coupon/product distribution, or other promotional activity may be conducted at SUMMIT without prior written approval in each instance. Any BADGE used in violation of this provision shall be deemed revoked, and void.

Resale or attempted resale of BADGES is grounds for termination of your registration under this agreement and cancellation of the BADGE.

 

We love photos, videos, and all things media, so unless we tell you otherwise and you’re willing to comply with these terms, take all the photos, videos, and audio recordings (collectively “recordings”) you want! If we tell you before a session you can’t take photos, videos, or audio recordings, you agree that you won’t take any recordings.

These recordings might include content or material that is protected by copyrights, trademarks, or other rights which we own or license. If these recordings are not for your personal use, you are not allowed to copy, reproduce, publish, or distribute them without our written permission.

We encourage you to share the recordings through social media (ex: LinkedIn, Instagram) as long as they are short clips, no longer than 3 minutes in length, and you are otherwise in compliance with these terms.

You agree that you won’t use any recordings in a way that:

  1. is misleading or disparaging
  2. implies that the content of the recordings is your own
  3. is for commercial purposes
  4. implies that we endorse, sponsor or approve of your business, services or products
  5. is in violation of applicable law (including but not limited to privacy laws) or
  6. is in connection with an obscene, indecent, or unlawful topic or material

If we request that you discontinue the use of any recordings, you will immediately comply with our request.
If we deem your equipment may interfere with other attendees’ ability to access parts of the Event, view Presentations, or is a safety risk, we will first look for an area to relocate you where you can continue with minimal disruption to other attendees. If an alternative is not found, we will ask you to stop using your equipment in that manner.
By attending SUMMIT, you agree to allow BUILDWITT to take and use picture(s), film and/or your name, image and/or likeness for promotional purposes, and hereby grant BUILDWITT a non-exclusive, royalty-free, perpetual, global license for such purpose. You acknowledge and accept the risk associated with any aerial photography (or airborne imagery) whether taken by drone or otherwise which may be used by BUILDWITT. In the event you choose not to allow the use of the same for this purpose, you agree that you must inform BUILDWITT of this in writing.

Except as otherwise expressly agreed in writing between BUILDWITT and the applicable party, BUILDWITT reserves the sole right to use any photographs, recordings, electronic images or publicity material received by or obtained by BUILDWITT in the course of the event, for whatever use deemed proper by BUILDWITT. BUILDWITT has the exclusive right to include photographic, video and other visual portrayals of attendees, sponsors, exhibitors and their exhibits including its contents, in any pictorial medium of any nature whatsoever for the purpose of trade, advertising, sales, publicity and otherwise, without further compensation to the attendee, speaker, sponsor or exhibitor, and all rights titled and interest bearing (including all worldwide copyrights therein) will be BUILDWITT’s sole property, free of any claims of attendee, speaker, exhibitor or sponsor or any persons deriving any rights or interest from the attendee, speaker, exhibitor or sponsor.

Safety is important in the Dirt World, and SUMMIT is no different! By attending SUMMIT, you understand safety measures might be put in place based on requirements of the Venues. Attendees and their belongings may be searched upon entry into SUMMIT, and you, your Authorized Attendees, and Authorized Recipients consent to such searches and waive any related claims that might arise against SUMMIT, its employees, and its agents related to such searches. If you or your Authorized Attendee or Authorized Recipient elect not to consent to such searches, they may be denied entry into SUMMIT.

Our events team may take whatever measures they deem necessary without prior notice in order to aim to ensure the safety of attendees at SUMMIT. You must comply with the direction of our events team, as well as all applicable rules and regulations.

 

PROHIBITED ITEMS

The following items are not permitted at SUMMIT without prior written authorization from BUILDWITT:

  • Drones
  • Hoverboards
  • Rollerblades/roller skates
  • Skateboards
  • Other forms of recreational transportation devices
  • Animals, other than trained service animals
  • Weapons

 

We hope everything between now and the event will go perfectly, but we may end up having to make updates to the agenda, such as a change in speakers or the cancellation of certain sessions. We can’t guarantee the attendance of any speaker, entertainer, or presenter, and we won’t refund your registration or provide any other compensation based on changes to the agenda. We also can’t guarantee admission to any certain session, since all sessions are subject to capacity limits and availability, unless that session requires a fee to attend.

SUMMIT is provided as-is, without warranty of any kind, either expressed or implied.

 

We may update and change any part or all of these Terms and Conditions at any time without notifying you first. If we update or change these Terms, the updated terms will be posted at https://info.buildwitt.com/dirtworld-summit-terms-and-conditions-2025. The updated Terms will become effective and binding on the next business day after they are posted, as indicated by the “Last Modified” date above.

 

INFORMED CONSENT/ASSUMPTION OF RISK

In consideration of the services of BuildWitt Media Group, LLC and its officers, managers, agents, employees, and members, and all other persons or entities associated with those businesses, for the purposes of the activities listed below (hereinafter collectively to as “BUILDWITT”), you hereby agree as follows:

You understand that BUILDWITT does not want to frighten you or reduce your enthusiasm for this activity, but believes it is important for you to know in advance what to expect and to be informed of the inherent risks.  You will be partaking potentially in the following activities:  golf tournament, skeet shooting, laser tag, workouts, and other activities that may be offered (collectively, the “Activities”).  You understand and agree that the activity you will be doing with BUILDWITT has inherent risks, and accept these risks.  You agree that BUILDWITT has taken reasonable steps to provide you with appropriate equipment and guides, and you have no reason to believe otherwise.  You agree that certain risks are inherent in each activity and cannot be eliminated without destroying the unique character of the activity.  You understand these risks can include loss or damage to your equipment or property, accidental personal injury, illness, or in extreme cases, permanent trauma or death.  You understand that other unknown or unanticipated, inherent risks may result from the activity.  

You agree to assume all risks, and accept full responsibility for the inherent risks identified herein and any other risks that may come about based on your participation and your unique medical conditions.  Your participation in this activity is purely voluntary, no one is forcing you to participate, and you elect to participate in spite of and with full knowledge of the inherent risks.

You acknowledge that engaging in this activity may require a degree of skill and knowledge different from other activities and that you have responsibilities as a participant. You acknowledge that the staff of BUILDWITT has been available to more fully explain to you the nature and physical demands of this activity and the inherent risks, hazards, and dangers associated with this activity. You also have had a reasonable opportunity to ask all questions that you have about the activity and the risks involved.

 

RELEASE

In full consideration of the above mentioned risks and hazards and in full consideration of the fact that you are willingly and voluntarily participating in the activities made available by BUILDWITT, and with your full understanding of all of the above, you hereby waive, release and discharge BUILDWITT of any and all liability, claims, demands, actions or rights of action, or damages of any kind related to, arising from, or in any way connected with, your participation in BUILDWITT’S leadership events, morning workout sessions, or other BUILDWITT events, including those caused by the negligent act or omission of any of those mentioned or others acting on their behalf. This release of liability is made freely and voluntarily.  

 

PHYSICAL CONDITION

You declare yourself to be physically sound and suffering from no condition, impairment, disease, infirmity, or other illness that would prevent your participation or use of equipment or machinery.  You acknowledge that you have been informed that participation in the Activities is voluntary and, depending on your health, you may need a physician’s approval to participate in these activities. You acknowledge that you have either had a physical examination and have been given your physician’s permission to participate, or that you have decided to participate in the exercise activities without the approval of your physician and do hereby assume all responsibility for your participation in said activities.

 

INDEMNIFICATION

You recognize that there is risk involved in the types of activities offered by BUILDWITT. You accept financial responsibility for any injury that you may cause either to yourself or to any other participant due to your active or passive negligence. Should BUILDWITT, or anyone acting on its behalf, be required to incur attorneys’ fees and costs to enforce this agreement, you agree to pay such fees and costs, indemnify and defend BUILDWITT.  Attendee, sponsor, or exhibitor further agree to indemnify and hold harmless BUILDWITT from liability for all actions stemming from the negligence, act, or omission of the attendee, sponsor, or exhibitor, whether active or passive, or intentional act or omission while participating in the offered activities.

 

ARBITRATION

YOU AND BUILDWITT AGREE THAT ANY DISPUTE, CLAIM, OR CONTROVERSY ARISING OUT OF OR RELATING TO SUMMIT, WORKSHOPS, OR ANY ALLEGED VIOLATION OF THIS RELEASE, AS WELL AS ITS ENFORCEMENT OR INTERPRETATIONS, INCLUDING THE DETERMINATION OF THE SCOPE OR APPLICABILITY OF THIS AGREEMENT TO ARBITRATE, WILL BE DETERMINED EXCLUSIVELY BY ARBITRATION WITH JUDICIAL ARBITRATION AND MEDIATION SERVICES (JAMS) IN ITS NASHVILLE, TENNESSEE OFFICE. THE ARBITRATION WILL BE ADMINISTERED BY JAMS PURSUANT TO ITS COMPREHENSIVE ARBITRATION RULES AND PROCEDURES, AND TO THE EXTENT NECESSARY WILL COMPLY WITH THE JAMS CONSUMER MINIMUM STANDARDS FOR ARBITRATION PROCEDURES.  PRIOR TO BRINGING ANY ARBITRATION CLAIM, BOTH PARTIES AGREE TO AND SHALL PROVIDE THE OTHER WITH AT LEAST THIRTY (30) DAYS’ ADVANCE WRITTEN NOTICE, SUMMARIZING IN DETAIL THE PROPOSED CLAIMS TO BE BROUGHT AND PROVIDING THE OTHER PARTY A REASONABLE OPPORTUNITY TO ATTEMPT TO RESOLVE THE DISPUTE.

Judgment on the award may be entered in any court having jurisdiction. The laws of the State of Tennessee will apply to this Release. This clause does not preclude parties from seeking provisional remedies in aid of arbitration from a court of appropriate jurisdiction. The parties shall maintain the confidential nature of the arbitration proceeding and the award, including the hearing, except as may be necessary to prepare for or conduct the arbitration hearing on the merits, or except as may be necessary in connection with a court application for a preliminary remedy, a judicial challenge to an award or its enforcement, or unless otherwise required by law or judicial decision.

In any arbitration arising out of or related to this Release, the arbitrator(s) shall award to the prevailing party, if any, the costs and attorneys’ fees reasonably incurred by the prevailing party in connection with the arbitration. 

You agree this Release extends to all acts of ordinary negligence of Released Parties and is intended to be as broad and inclusive as is permitted by law. If any portion of this Release is held invalid, the remaining potions will continue to have full legal force and effect.

YOU HAVE FULLY READ AND FULLY UNDERSTAND THE FOREGOING ASSUMPTION OF RISK, AND RELEASE OF LIABILITY AND YOU UNDERSTAND THAT BY SIGNING IT OBLIGATES YOU TO INDEMNIFY THE PARTIES NAMED FOR ANY LIABILITY FOR INJURY OR DEATH OF ANY PERSON AND DAMAGE TO PROPERTY CAUSED BY MY NEGLIGENT OR INTENTIONAL ACT OR OMISSION. YOU UNDERSTAND THAT BY SIGNING THIS FORM YOU ARE WAIVING VALUABLE LEGAL RIGHTS. YOU REPRESENT AND WARRANT THAT YOU ARE OVER THE AGE OF 18 AND LEGALLY COMPETENT.  

 

ACKNOWLEDGEMENT OF COVID-19 AND OTHER RISKS

I fully understand that: the novel coronavirus SARS-CoV-2 and any resulting disease (together with any variation thereof, "COVID-19") is an extremely contagious disease that can lead to severe illness and death, and there is an inherent danger and risk of exposure to COVID-19 in any place where people are present;no Safety Protocols (as defined below) can eliminate the risk of exposure to COVID-19; while people of all ages and health conditions can be and have been adversely affected by COVID-19, according to the Center for Disease Control and Prevention (CDC) and other public health authorities (i) people with certain underlying medical conditions are or may be especially vulnerable; and (ii) the risk of severe illness from the contraction of COVID-19 increases steadily with age, and contracting COVID-19 can result in the further transmission of COVID-19 to Entrant’s spouse, family members, and other persons in proximity to Entrant’s; and exposure to COVID-19 can result in subsequent quarantine, illness, disability, other short-term and long-term physical and/or mental health effects, and/or death, regardless of age or health condition at the time of exposure and/or infection.

I hereby acknowledge and agree that in the absence of any negligence or other breach of duty by Reuters or the Released Parties, entry to the Venue and attendance at the SUMMIT is entirely at my own risk.

 

WAIVER OF CONSEQUENTIAL/PUNITIVE DAMAGES

Notwithstanding any other provision to the contrary, BUILDWITT shall not be liable to any attendee, exhibitor or sponsor for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, revenue, data, or use, incurred by the attendee, exhibitor or sponsor, whether in an action in contract or tort, even if BUILDWITT has been advised of the possibility of such damages.

Supplement Terms and Conditions

These Supplemental Terms and Conditions (“SUPPLEMENTAL TERMS”) apply in addition to the Terms and Conditions for the Dirt World Summit 2025 and are specifically tailored for the Dirt World Workshop at Wyotech  and Dirt World Workshop at John Deere (individually a “WORKSHOP” and collectively, "WORKSHOPS"). By registering for any of the Workshops, you agree to these SUPPLEMENTAL TERMS in addition to the overarching TERMS AND CONDITIONS. Where there is overlap, the main TERMS AND CONDITIONS will prevail unless otherwise stated in these SUPPLEMENTAL TERMS.

Workshop Specifics

The specific venue, agenda, and cancellation deadlines for each Workshop are detailed in the respective Workshop's registration page and communications. Please refer to these for event-specific information.

Registration and Rates

The registration process and rates for the WORKSHOPS follow the same guidelines as the SUMMIT. Any promotional codes or discounts are event-specific and cannot be transferred between the SUMMIT and the WORKSHOPS.

Weather

The WORKSHOPS are subject to the weather conditions at the locations of each respective WORKSHOP. In the event of inclement weather, BUILDWITT shall be entitled to move or cancel either or both WORKSHOPS or any aspect of the WORKSHOPS. In the event of any such relocation, BUILDWITT shall be responsible for the costs associated with the move; provided, however, that you shall be responsible for all other associated costs, including but not limited lodging, travel, and personal expenses. You are encouraged to secure travel insurance to cover any unforeseen expenses. If a WORKSHOP is canceled due to weather conditions, BUILDWITT will provide notice to attendees as soon as possible and will offer options for refunds or transfers in accordance with the specific terms set forth on the WORKSHOP event page.

 

Age Limitations

The age restrictions set forth in the Summit Terms and Conditions apply to the WORKSHOPS, with all attendees required to be at least 18 years of age, unless accompanied by a guardian as specified.

WORKSHOP companion tickets are limited to 1 per attendee.

Photography, Video, and Audio Recording

The guidelines for recordings at the WORKSHOPS mirror those of the TERMS and Conditions, with attendees encouraged to share their experiences within the bounds of respect for intellectual property and privacy.

As with the SUMMIT and overarching TERMS AND CONDITIONS, by attending either WORKSHOP or both WORKSHOPS, you agree to allow BUILDWITT to take and use picture(s), film and/or your name, image and/or likeness for promotional purposes, and hereby grant BUILDWITT a non-exclusive, royalty-free, perpetual, global license for such purpose. You acknowledge and accept the risk associated with any aerial photography (or airborne imagery) whether taken by drone or otherwise which may be used by BUILDWITT. In the event you choose not to allow the use of the same for this purpose, you agree that you must inform BUILDWITT of this in writing.

Except as otherwise expressly agreed in writing between BUILDWITT and the applicable party, BUILDWITT reserves the sole right to use any photographs, recordings, electronic images or publicity material received by or obtained by BUILDWITT in the course of the event, for whatever use deemed proper by BUILDWITT. BUILDWITT has the exclusive right to include photographic, video and other visual portrayals of attendees, sponsors, exhibitors and their exhibits including its contents, in any pictorial medium of any nature whatsoever for the purpose of trade, advertising, sales, publicity and otherwise, without further compensation to the attendee, speaker, sponsor or exhibitor, and all rights titled and interest bearing (including all worldwide copyrights therein) will be BUILDWITT’s sole property, free of any claims of attendee, speaker, exhibitor or sponsor or any persons deriving any rights or interest from the attendee, speaker, exhibitor or sponsor.

 

Content and Behavior

Attendees at the WORKSHOPS are expected to maintain the same level of decorum and respect for others as at the SUMMIT, with any disruptive behavior subject to the same consequence, as outlined in the TERMS AND CONDITIONS. 

 

On-Site Identification and BADGE Policy

As with the SUMMIT, all WORKSHOP attendees must wear their BADGE at all times and follow the same procedures for badge pickup and replacement.

Security and Safety

The security measures and prohibited items list for the Workshops are consistent with those of SUMMIT. Attendees must comply with all safety instructions and regulations, ensuring the safety and well-being of all attendees.

These SUPPLEMENTAL TERMS are to be read in conjunction with the main TERMS AND CONDITIONS  and are effective as of the "Last Modified" date indicated at the top of this document.
